How should we handle expenses that not everyone participated in?
For expenses that only some participants shared (like a special activity or meal), you have two options: (1) Create a separate expense item and only select the participating members when adding it, or (2) Add it as a regular expense and adjust individual shares manually in the custom split section.
What's the best way to settle balances after the trip?
We recommend settling through digital payment apps (Venmo, PayPal, etc.) as they provide records for everyone. For larger amounts, consider bank transfers. Always include a note referencing the trip name and purpose of payment.
How do we account for currency conversions?
Our calculator works with any currency. For international trips, either convert all amounts to one currency before entering, or note the currency used for each expense. The calculator will treat all amounts as being in the same currency.
Should we include personal expenses like souvenirs?
Personal expenses that don't affect the group (souvenirs, individual shopping) shouldn't be included. Only shared expenses or those that impact the group's overall budget should be added to the calculator.
How often should we update the calculator during our trip?
